This Privacy Policy explains how Spinor Innovations LLC, doing business as Magmira ("Magmira," "we," "us," or "our"), collects, uses, shares, and protects personal information when you use our website at https://magmira.com, our software, tools, and services (collectively, the "Services").

Magmira is a job search and application service. For clients on application plans, Magmira consultants prepare and submit job applications on your behalf using information and accounts you provide, supported by artificial intelligence tools and human review where your plan includes that review.

Client accounts, not proxy emails: Magmira does not provide separate proxy email inboxes for applications. We typically use your email address and accounts, with credentials you authorize us to use, so applications and employer responses are associated with your identity.

By using the Services, you acknowledge the practices described in this Privacy Policy. You must be at least 18 years of age to use the Services, as stated in our Terms of Service.

2. Information We Collect

2.1 Information you provide

When you create an account, submit a lead form, or use our Services, you may provide:

  • Magmira account information: name, email address, password for your Magmira website account, and account preferences
  • Job application account credentials: login credentials for email accounts and job platforms you authorize us to use (such as email passwords, portal passwords, security questions, or one-time codes when you provide them) so consultants can apply on your behalf and monitor application-related communications
  • Resume and professional information: employment history, education, skills, certifications, and career goals
  • Job preferences: target roles, preferred locations, remote work preferences, salary expectations, and employer blocklists where applicable
  • Work authorization: visa sponsorship needs, work authorization status, and related eligibility information you choose to provide
  • User content: resumes, cover letters, LinkedIn profile details, application responses, and documents you upload or we prepare for you
  • Google Drive and file sharing: links to folders you share with Magmira and files we upload or store there (resumes, job descriptions, deliverables)
  • Marketing lead information: industry, target roles, LinkedIn profile URL, and resume files submitted through our website forms
  • Payment information: processed by our third-party payment processor (we do not store full payment card details)
  • Communications: emails, support requests, scheduling details, strategy call notes, employer and recruiter messages accessible through accounts you authorize, and SMS opt-in status where applicable

We do not purchase personal information about you from data brokers.

2.2 Sensitive personal information

Some information you provide may be considered sensitive under certain privacy laws (including the California Consumer Privacy Act), such as:

  • Work authorization and immigration status — used only to target eligible roles and complete application fields you ask us to submit
  • Account login credentials — used only to access accounts you authorize for application submission, email monitoring, and related service delivery
  • Professional and employment history you provide for applications

We use sensitive personal information only to provide the Services you request. We do not sell sensitive personal information, do not use it for cross-context behavioral advertising, and do not use it to infer characteristics about you for unrelated purposes.

2.3 Information collected automatically

When you visit our website, we may collect device and usage information such as IP address, browser type, pages visited, feature usage, error logs, and analytics data (where enabled and permitted).

3. How and Why We Use Information

We use personal information to:

  • Create and manage your Magmira account and deliver the Services you purchase
  • Parse, organize, and use your resume and profile to prepare tailored application materials
  • Match you with relevant job opportunities within your agreed scope
  • Sign in to and use job search accounts and email accounts you authorize, submit applications to employers and applicant tracking systems on your behalf, and accept required platform terms when completing those applications
  • Monitor designated email accounts for employer responses, interview requests, and application-related messages
  • Store and share deliverables through Google Drive folders you provide
  • Provide resume support, LinkedIn profile optimization, interview preparation, and strategy calls
  • Process payments, send transactional communications, and provide customer support
  • Improve security, prevent fraud, and comply with legal obligations
  • Analyze product usage where permitted (for example, with consent for non-essential analytics)

We do not sell personal information and do not share personal information for cross-context behavioral advertising.

Where required by applicable law, our legal bases for processing may include performance of a contract with you, compliance with legal obligations, your consent (for example, for certain analytics), and legitimate interests such as securing and improving the Services — balanced against your rights.

4. AI-Assisted Processing and Automated Decisions

Magmira may use artificial intelligence and automation tools to support resume optimization, drafting, skills extraction, job matching, analysis, and application workflows.

These processes are designed to assist — not replace — human review where your plan includes human review before submission. The final hiring decision always rests with the employer, not Magmira.

AI outputs may be inaccurate or incomplete. You remain responsible for reviewing final materials before use or submission.

Magmira does not use your information to train publicly available AI models without your consent, and does not use AI to make hiring decisions on behalf of employers.

If you believe automated processing has significantly affected you in a way that produces legal or similarly significant effects, contact hello@magmira.com to request human review where applicable law provides that right.

5. How We Share Information

We share personal information only as needed to provide the Services or as required by law.

5.1 Employers and job platforms

When you purchase application services, we submit your resume and application information to employers, job boards, and applicant tracking systems on your behalf and at your direction, typically using your email address and accounts. This is a core purpose of the Service.

5.2 Service providers

We use third-party providers, located primarily in the United States, that process data on our behalf under contractual restrictions, such as:

  • AI and language model providers — for resume parsing, drafting, matching, and workflow support
  • Automated application tools — for preparing and submitting application materials using your profile
  • Cloud hosting and database providers
  • Email and communications providers
  • Google Drive / Google Workspace (when you share folders with us)
  • Payment processors
  • Scheduling and authentication providers
  • Analytics providers (where consent or applicable law permits)

Examples may include providers such as Supabase, Resend, Calendly, Stripe, and AI providers we use from time to time.

5.3 Legal and business transfers

We may disclose information when required by law, to protect rights and security, in connection with a business transaction, or with your direction or consent.

5.4 Aggregated and de-identified data

We may create aggregated or de-identified data that cannot reasonably identify you. We may use and disclose such data for lawful business purposes such as analytics and service improvement. We do not attempt to re-identify de-identified data.

6. International Data Transfers

Magmira is based in the United States. If you access the Services from outside the United States, your personal information may be transferred to, stored in, and processed in the United States and other countries where our service providers operate.

Where required by applicable law, we use appropriate safeguards for international transfers, such as standard contractual clauses or equivalent mechanisms with our service providers.

Credentials: Job application and email credentials you provide are accessed only by authorized Magmira personnel and contractors who need them to perform the Services, and are handled according to our internal access policies.

No system can be guaranteed completely secure, and you use the Services at your own risk. You may change passwords or revoke account or Drive access at any time, though doing so may affect our ability to continue Services.

9. Data Retention

We retain personal information only for as long as reasonably necessary to provide the Services, satisfy contractual and legal obligations, resolve disputes, enforce agreements, and protect legitimate business interests.

When retention is no longer necessary, we may delete, anonymize, or aggregate the information, unless continued retention is required by law. This includes application account credentials, which we aim to delete or cease using when your engagement ends or when you request deletion, subject to legal and backup retention limits.

Retention periods may vary by data type (for example, Magmira account data, deliverables, payment records, support communications, and credentials).

10. Your Privacy Rights

Depending on where you live, you may have rights to know what information we collect, access your information, correct inaccurate information, request deletion, obtain a portable copy, restrict or object to certain processing, withdraw consent where processing is consent-based, and appeal certain privacy decisions.

We will not discriminate against you for exercising applicable privacy rights.

To submit a privacy request, contact hello@magmira.com. We may need to verify your identity before completing certain requests, and authorized agents may submit requests where permitted by law. We will respond within the timeframe required by applicable law.

10.1 United Kingdom and European Economic Area

If you are in the UK or EEA, you may have additional rights under UK GDPR or EU GDPR, including rights of access, rectification, erasure, restriction, portability, objection, and rights related to automated decision-making. You may also lodge a complaint with your local supervisory authority.

10.2 California and US state privacy rights

For California residents and residents of other US states with comprehensive privacy laws:

  • We do not sell personal information or share it for cross-context behavioral advertising.
  • We use sensitive personal information only to provide the Services you request, as described in Section 2.2.
  • You may request to know, access, correct, delete, or obtain a copy of personal information we hold about you, subject to legal exceptions.

Categories we may collect in the last 12 months include identifiers, professional and employment information, education information, commercial information (orders and payments), internet or device activity, account credentials and authentication information you provide for job applications, sensitive personal information (such as work authorization and account credentials where you provide them), and inferences derived from your profile for job matching within your agreed scope.

11. Children's Privacy

The Services are not directed to anyone under 18 years of age. We do not knowingly collect personal information from anyone under 18. This matches the eligibility requirement in our Terms of Service. If you believe we have collected information from someone under 18, contact hello@magmira.com and we will take steps to delete it.

12. SMS Communications

If you opt in to receive text messages from Magmira, we may send you account, scheduling, or service-related SMS messages.

Message and data rates may apply, and you can opt out by replying STOP.

13. Business Customer Processing

If Magmira processes personal information on behalf of a business customer, the customer acts as the controller and Magmira acts as the processor for the processing described in the applicable services arrangement.

In that context, Magmira will process information only for authorized business purposes and provide reasonable assistance with applicable data subject requests when required.

14. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or business operations.
